What an Excel workflow chart is

An Excel workflow chart is a flowchart drawn on a worksheet: one shape per step, connectors for the direction, a short label inside each shape. People also call it a process map. Excel is a reasonable place to draw it when the steps already sit next to the sheet that calculates them. It is a poor place to draw it if you need a poster. PowerPoint has more room, and a slide can hold the finished picture.

Microsoft's current apps put this under Insert, Shapes, and under Insert, SmartArt, Process. The support articles move between 'flowchart' and 'SmartArt' wording. The result you want is the same: a labeled sequence someone else can follow without you narrating it.

Shapes and connectors

Use rectangles for ordinary steps, a diamond for a yes or no decision, and a rounded rectangle or oval for start and end. Draw them from Insert, Shapes. Then use an elbow connector or a straight connector from the Lines group, and attach it to the connection points on the shapes (the dots that appear when you hover the border). A connector stuck to a shape moves when the shape moves. A line you drew by eye does not.

Keep labels to a few words. 'Approve invoice' is a step. A paragraph inside the box is a policy, and it belongs in the Word document next to the chart. Color one accent for the happy path and leave exceptions in a second color. Do not color every box differently. Zoom the sheet to the size you will paste, and check that 11-point text is still readable.

SmartArt, then leave it if it fights you

Insert, SmartArt, Process gives you a basic chevron or a basic process list in one step. Type the steps in the text pane. This is the fast path for a linear workflow with no branches. The moment you need a decision diamond, SmartArt is the wrong object. Convert it or delete it and draw shapes. A branch is two connectors out of a diamond, labeled Yes and No.

To put the chart in a talk, select the shapes (not the whole used range of empty cells), copy, and paste as a picture into PowerPoint or Word. Pasting as a live Excel object drags the workbook along and reflows badly. Kimi Slides can suggest the step names from a description you write. It will not align connectors on your sheet. Draw those yourself.

Steps

  1. List the steps in cells first. One step per row, in order, with a Yes or No note on any branch. The list is the spec. The drawing comes second.
  2. Insert shapes for each step. Rectangle for work, diamond for a decision, oval for start and end. Type the short label in the shape.
  3. Connect them. Insert a connector and drop it on the shape handles. Label Yes and No on the two paths out of a diamond.
  4. Copy as a picture. Select the shapes and paste into Word or PowerPoint as a picture when the chart has to travel.

Questions

How do I make a workflow chart in Excel?
Insert, Shapes. Draw a shape per step and join them with connectors snapped to the shape handles. Use SmartArt Process only for a straight line of steps with no decisions.
What shape is a decision?
A diamond, with two connectors leaving it, labeled with the two outcomes. A rectangle is an action, not a choice.
Why do my arrows detach?
They are plain lines, not connectors. Delete them and insert a connector from the Shapes lines group so it locks to the shape.
Should this live in Excel or PowerPoint?
Draw it in Excel if it documents a sheet. Paste a picture onto a slide if you are presenting. A slide deck is the talk. The sheet is the working copy.
