Turn a Google Doc into a PDF

Download as PDF from Google Docs on the web, and the print path when you need different page setup.

Cover, contents, chapters, and a closing page, each with a heading style.

The download that makes a PDF

To turn a Google Doc into a PDF, open the document in a browser, choose File, then Download, then PDF Document (.pdf). Google's help on downloading Docs, Sheets, and Slides files documents that menu. The PDF lands in your downloads folder. It is a snapshot. Later edits in the Doc do not update that PDF until you download again.

Changing a Google Doc to a PDF is the same menu. People phrase the search both ways. Sharing the Doc (anyone with the link) does not create a PDF. The other person still opens a Google Doc unless they download one themselves.

When File, Print is the better path

File, then Print, then a PDF destination, lets you pick a page range and see margins before you commit. On Chrome the destination list includes Save as PDF. Use this when the assignment wants selected pages, or when you need to confirm a page break that Download hides until you open the file.

Set page size first: File, Page setup, then the paper size the reader will print. A Doc laid out on A4 and downloaded on a workflow that assumes Letter will look slightly off. Page setup is in the Doc, not in the PDF, so change it before the download. If you are assembling a longer handbook, do the heading styles in Word or in Docs before this step. See handbook.

Slides, Word, and the reverse conversion

Google Slides uses the same idea: File, Download, PDF. That is how you freeze a slide deck. PowerPoint is a different download item if you still need to edit in Microsoft's app. Kimi Slides is only relevant if you are still drafting. It does not perform this export.

PDF back to an editable document is Acrobat's export, or Google Docs' File, Open, and upload, which also converts with mixed results. Do not run a private Doc through an extra converter after Google already gave you a PDF.

Steps

  1. Open the Doc in the browser. Use docs.google.com while you are signed into the account that owns the file, or that has edit or view access.
  2. Check page setup. File, Page setup. Set paper size, margins, and orientation before you export.
  3. Download as PDF. File, Download, PDF Document (.pdf). Wait for the file in your downloads folder and open it once.
  4. Or print to PDF for a page range. File, Print, choose Save as PDF, and limit the pages if you do not want the whole Doc.

Questions

How do I turn a Google Doc into a PDF?
File, Download, PDF Document (.pdf). Google documents this on its help page for downloading Docs files. The PDF is a copy and does not keep updating.
How do I change a Google Doc to a PDF on a phone?
In the Google Docs app, open the document, use the share or menu control, and choose the export or print action that offers PDF. The web steps above are the ones Google documents most clearly.
Why is the share link not a PDF?
A share link opens the Google Doc. A PDF exists only after someone downloads or prints to PDF.
The PDF cut off a table. What now?
Narrow the table or switch the page to landscape in File, Page setup, then download again. The PDF will not reflow just because you reopen it.
